VGPM 1.87 Update: Bulk Claim Updates & Payroll Through Your AI Assistant

VGPM 1.87 lets ABA billers tag and comment on claims in bulk, keeps authorization units accurate after deletions, and adds payroll to AI assistants.

VGPM 1.87 continues our mission to Protect Your Purpose by taking repetitive clicks off your billing team, keeping the authorization numbers your schedulers rely on honest, and bringing payroll into the AI assistant conversation. This release adds a Bulk Update action to the claims list, corrects authorization unit totals when sessions or claims are removed, and gives Beta practices payroll and office lookups through their AI assistant.

Tag and Comment on Many Claims at Once

Tags are how billing teams sort their work: claims waiting on a corrected note, claims flagged for a payer call, claims held for an appeal. Until now, tagging fifty claims or leaving the same note on all of them meant opening each claim, one at a time. Selection already let you send or download a batch; it did not let you organize one.

The claims list selection bar now has a Bulk Update action alongside Send.

What's Included

  • Works on any selection: apply it to claims you checked, or to every claim that matches your current filters
  • One pass, three changes: add tags, remove tags, and leave a comment in the same dialog
  • No conflicting picks: a tag cannot be chosen for adding and removing at the same time
  • Confirm before it runs: the dialog restates exactly what you are about to update, and warns you when a filter-wide update covers a very large number of claims
  • Safe to repeat: adding a tag a claim already has, or removing one it does not have, leaves that claim unchanged
  • A clear record: every updated claim gets a timeline entry showing the bulk update, and you see how many claims were updated when it finishes

Billers only see the parts of the dialog their role allows: tagging requires permission to edit claims, and commenting requires permission to edit claim entries.

Why This Matters

A tag that never gets applied is a claim that never gets followed up. When organizing a denial batch takes an afternoon of clicking, it gets postponed, and postponed follow-up is how timely filing windows close. For the biller working a stack of denials on Friday afternoon, this turns fifty claim edits into one, and makes a tagged queue the natural starting point for ABA claim denial management. Practices that would rather hand that queue off entirely can use VG Soft Co's RCM services, which provide ABA-specialized outsourced billing with a real-time view of every claim. Authorization Units That Stay Accurate After Deletions

Your authorization screen shows units scheduled, billed, and remaining, and schedulers use the remaining number to decide whether a client can take another session this week. VGPM already refreshed those totals overnight after a session was created or edited. It did not refresh them after a session was deleted, cancelled without a replacement provider, or after an unsent claim was deleted, so removed units kept counting against the authorization.

Starting with 1.87, every one of those changes queues the authorization for its overnight recalculation, including recurring series deletions, shortened series, and client deactivation. This release also recalculates every active authorization once, so totals that drifted before the update are corrected too.

Why This Matters

An authorization that looks more used than it is costs you twice: sessions the client is entitled to get held back, and the treatment plan falls behind its approved intensity. Accurate remaining units mean schedulers can fill the hours a payer already approved, with confidence, and that ABA authorization tracking reflects what actually happened on the calendar. Payroll Questions, Answered by Your AI Assistant (Beta)

In VGPM 1.82 we introduced a Beta connection that lets AI assistants such as Claude work with your VGPM data, limited to what the signed-in user is already allowed to see. 1.87 gives that connection its first reporting tool: payroll.

Practices in the Beta can now ask their assistant for payroll results for a pay period, for the whole practice or for one office, and get the same figures as the Payroll report in VGPM. The assistant can answer questions about those numbers and lay them out as a spreadsheet-ready table when you ask for one.

What's Included

  • The same numbers as the report: hours come from the same calculation as Reports > Payroll, so the assistant never works from a second, divergent version
  • Office by office: filter by office, matched on each employee's primary office, the same way the web report does
  • Travel kept separate: travel time and mileage are always included, along with whether your practice pays for each, so logged travel is not mistaken for paid travel
  • Same permissions as the web app: only people who can view payroll in VGPM can retrieve it, and the connection is read-only
  • Office lookup: the assistant can list your active offices, so you can name an office in plain language

How to Get Access

The AI assistant connection is turned on per practice during the Beta. Contact the VG Soft team to request access for your practice.

Why This Matters

Payroll is one of the recurring admin tasks owners most want off their plate. Asking "how many billable hours did the North office log this pay period, and how much PTO did they take?" is faster than running a report, downloading a file, and reading it yourself. The web Payroll report stays the source for the exact export file; the assistant is there for the questions in between.

Supervisor Left Off BCBA Session Notes for UHC Community Plan KanCare

UHC Community Plan KanCare rejects BCBA session notes that list a supervising BCBA. Session notes completed by a BCBA for KanCare clients now leave the supervisor out of the note header, matching the rule VGPM already applies for UHC/Optum. Notes completed by an RBT still show the supervisor, and claims are unchanged.

Security Hardening

This release tightens access controls across the platform and the AI assistant connection, and updates core components with the latest security fixes. It also fixes a confusing "Unauthenticated" message when a different person signs in on a shared workstation right after someone else signs out.

VGPM 1.87 also includes performance improvements and bug fixes to enhance platform stability and reliability, including a fix for interval goal entries that showed an error page when expanded in the entries list.

VGPM is the all-in-one ABA practice management platform built for streamlined operations: billing-optimized, automation-first, and simple enough for teams to learn in hours, at a flat $50 per staff per month. This release gives billers back the afternoon they spent clicking through claims one by one, and gives schedulers authorization numbers they can trust.
