VGPM 1.85 Update: Prompt Procedures in Session & Secondary Insurance Billing Holds

VGPM 1.85 shows RBTs each ABA goal's prompt procedures during sessions and stops auto-invoicing families when a secondary insurance is on file.

VGPM 1.85 continues our mission to Protect Your Purpose by putting the BCBA's prompting plan in front of every therapist at the moment they need it, and by keeping families from receiving bills that a second insurance may still cover. This release adds prompt procedures to goals and makes them viewable in session, holds claims for review when a client has a secondary insurance on file, keeps goals in New status free of data, and signs deactivated staff out immediately.


Prompt Procedures, Visible in Every Session

A goal tells a therapist what to teach and how to measure it, but not how to prompt it. Until now, the prompting plan lived in the BCBA's head, on a printed sheet, or in a message thread. When two RBTs prompt the same goal differently, the data stops being comparable, and prompt fading becomes hard to defend in a treatment plan review.

Goals in VGPM now have an optional Prompt Procedures field. The BCBA writes the plan once, and anyone collecting data can open it from the goal card without leaving the session.

What's Included

  • On templates and client goals: record the prompt hierarchy, prompt type, fading plan, and error correction with lists and basic formatting
  • Inherited from templates: a client goal created from a template starts with the template's prompt procedures, and editing them for one client never changes the template
  • Carried along: cloning a goal or adding a client goal to your library copies its prompt procedures too
  • One tap in session: a new button on each goal card opens the procedures read-only, with formatting intact, on desktop and mobile
  • Clear when empty: the button is greyed out when a goal has no procedures, the same way Description works
  • A cleaner goal card: the pin button moved off the session card to make room; pinned goals still sort first, and pinning still works from the Program Book and goal edit form

Why This Matters

Consistent prompting is what makes goal data mean the same thing across your team. For the RBT on the Edge, this means no more guessing whether the plan is a full physical prompt or a gesture this week. No More Family Invoices When a Secondary Insurance Should Pay First

When an ERA came back with patient responsibility, VGPM moved the claim to client balance and invoiced the family automatically. That is exactly right for most clients. For a client with a second insurance, it was not: the remaining balance should go to the secondary payer first, and the family may owe little or nothing once it does. Families were receiving bills they did not owe, and billing staff had to unwind them after the fact.

VGPM now checks for a secondary insurance before it invoices.

What's Included

  • Held for review, not invoiced: when an ERA posts patient responsibility for a client with more than one insurance on their profile, the claim goes to Review and no invoice is created
  • The reason is on the record: the claim timeline notes that it was held because a secondary insurance is on file
  • Amounts still post: patient responsibility is recorded on the claim as usual, so nothing is lost
  • You stay in control: once the secondary payer has answered, moving the claim to client balance generates the family invoice exactly as before
  • Everyone else is unchanged: clients with one insurance are still invoiced automatically, and private pay claims are not affected

Why This Matters

A bill a family does not owe is the fastest way to turn a grateful parent into a billing dispute, and an invoice sent too early often means the secondary payer never gets billed at all. For the billing lead, held claims now land in Review next to everything else that needs attention, instead of surfacing weeks later as an angry phone call. Goals in New Status Stay Clean

A goal in New has not started yet, so VGPM now keeps data off it. Manual entries cannot be added to a New goal, and a goal that already has data can no longer be moved back to New. The check looks at the goal's full history, not only the dates on screen, and goals that already had data before this release keep it.

Deactivated Staff Are Signed Out Immediately

When you deactivate an employee, or their leave of absence begins, VGPM now ends every session they have open on any browser or device. Offboarding is complete the moment you save it, rather than when they next click something.

An Easier Form Builder Palette

The field type list in the Form Builder now scrolls within its own column, so every field type is reachable on smaller laptop screens. Each type also has its own icon and is left-aligned for faster scanning, and both click-to-add and drag-to-add work as before.

VGPM 1.85 also includes performance improvements and bug fixes to enhance platform stability and reliability.
