VGPM 1.79 continues our mission to Protect Your Purpose by taking one of ABA billing's most tedious manual chores off your team's plate entirely. This release automates claim attachments from session note to clearinghouse, sharpens duration data entry down to the second, and adds small safeguards that catch scheduling mistakes before they become billing problems.
Automatic Claim Attachments, From Session Note to Clearinghouse
Some payers will not pay certain claims without supporting documentation, which usually means session notes. Until now, meeting that requirement meant a billing person gathering notes session by session, merging them into one document, and uploading the file to a portal for every single claim. VGPM 1.79 automates that entire workflow.
When a claim qualifies for documentation based on your payers' requirements, VGPM flags it the moment it is created. At submission time, the platform gathers the completed session notes behind the claim, combines them into a single PDF, stamps the packet with an attachment control number, references that number on the electronic claim itself, and uploads the file to the clearinghouse automatically. Your team submits claims exactly the way it always has.
What's Included
- Claims that need documentation are identified automatically at creation, based on payer and provider requirements
- Completed session notes are bundled into a single attachment PDF at submission, no manual gathering or merging
- The electronic claim carries the attachment reference, so the payer can match documentation to the claim
- The PDF uploads to the clearinghouse automatically, with no portal logins or manual uploads
- Every step is logged on the claim timeline: attachment generated, uploaded, or flagged for review if an upload fails
- Resubmissions generate a fresh attachment automatically
Why This Matters
Documentation requests are one of the quietest revenue killers in ABA billing. Claims sit unpaid while someone finds time to assemble notes, and a missed upload becomes a denial, then a timely-filing write-off. Automating the attachment step means qualifying claims go out the door complete on the first pass, which protects both the payment and the hours your billing team was spending on portal uploads. It is one more piece of ABA billing software working like a billing person who never forgets a step. And because the attachments are built from your completed session notes, the clinical documentation your team already writes becomes the evidence that gets claims paid.
Attachment requirements are configured per payer and provider, so reach out to VGPM support to switch it on for the payers that ask you for documentation. For practices that would rather hand claims follow-up off entirely, VG Soft Co's RCM service works these same claims with ABA-specialized billers.
Also in This Release
Duration Entry, Down to the Second
Everywhere you record a duration, from in-session goal data to Program Book entries to duration targets on goal forms, the field now pairs a number with a unit selector. Log a 45-second bout as 45 seconds instead of converting it to 0.75 minutes in your head. A conversion hint under the field confirms the value before you save, which means cleaner ABA data collection and progress graphs your BCBAs can trust.
Unread Message Count on the Navigation
The Messages item in the main navigation now shows how many conversations have unread messages, so nothing sits unanswered just because nobody thought to check.
A Safety Net for Marathon Events
If a single-day event is scheduled for more than 8 hours, the form now warns you to double-check the start and end times. It catches the classic AM/PM mix-up before it becomes an inflated timesheet or an overbilled session, while still letting intentional long events through.
Smaller, Faster Session Note PDFs
Session note PDFs now embed only the font data they actually use, so individual downloads, bulk export ZIPs, and claim attachments are substantially smaller and faster to send, with no change to how notes look.
A More Consistent Interface
Alerts and warnings across the platform now share one refreshed, consistent style, continuing the interface modernization from 1.78, so important messages read the same way on every screen.
VGPM 1.79 also includes performance improvements and bug fixes to enhance platform stability and reliability.
VGPM is the all-in-one ABA practice management platform built for streamlined operations: billing-optimized, automation-first, and simple enough for teams to learn in hours, at a flat $50 per staff per month. This release lets the documentation your clinicians already write do the work of getting claims paid, so more of the week belongs to care instead of paperwork.
